Overview #
Vloggi allows you to streamline video submissions by uploading structured datasets of known contributor information—like customer lists, student directories, or employee databases. These datasets become lookup tables that automatically fill in known fields (e.g. name, location, role) based on a single unique identifier, such as email or ID.
This guide explains how to upload a CSV dataset, link it to your projects, and apply it in compliance with privacy rules.
📦 What Is a Lookup Table in Vloggi? #
A lookup table is a dataset you upload that contains known information about contributors. Once linked to a project, contributors only need to provide one piece of identifying data—like their email or student number—and the rest of their information is pulled in automatically and applied to their video submissions.
Use cases include:
- Pre-loading school student data for video auditions
- Tagging video testimonials with customer names and regions
- Adding employee role or store number to internal reporting videos
Step 1: Uploading a CSV Dataset #
To upload contributor data to Vloggi:
- Go to My Datasets in the Vloggi Studio
- Click Upload Dataset
- Choose a clear dataset title and (optional) description
- Upload a .csv file with a single row per contributor
- Confirm if your file has headers
- Choose the format:
- “Each row is one contributor” (recommended)
- Select the key column—this must contain unique values (e.g. Email, Employee ID)

Step 2: Using Customer or Contributor Data in Vloggi #
Once uploaded, your dataset becomes available for use in any project. You can now link fields in the dataset to questions in your video submission forms.
How to link: #
- Navigate to your project’s Contributor Data Collection tab
- Add a new field (e.g. “Select your school”)
- Choose a response type: Lookup, Dropdown, or Multi-select
- Select “Link to dataset”
- Pick the relevant column (e.g. School, Region, Tier)
Step 3: Privacy Rules and Best Practices #
Because datasets often include personal information, it’s critical to manage them responsibly:
✔️ Do:
- Upload only data you’ve collected with consent
- Use type-to-search (lookup fields) for identifiers like email, to avoid exposing lists to other users
- Limit datasets to fields you actually use
- Show contributors what data is being used and why
❌ Don’t:
- Display full lists of email addresses in dropdowns
- Upload unnecessary private fields (e.g. phone numbers, DOBs)
- Assume blanket consent—check your internal policies or ask for opt-in again
Step 4: Linking Data to Video Submissions #
When a contributor enters their unique ID (e.g. student number), Vloggi will:
- Pull in the matching row from your dataset
- Auto-fill contributor fields (e.g. Name, School, Program)
- Convert selected fields into tags that appear in the video library
- Store the data in the submission record for audit, reporting, and filtering
Example: A student enters their ID “54321”
→ Vloggi retrieves their name, school, and state
→ Tags like Texas and Skyline College appear on their video
Step 5: Test and Troubleshoot #
After linking your dataset:
- Submit a test video to confirm data is pulled in correctly
- Check the Video Library for tags and filters
- Use the Clip Info view to see full contributor data and IP log
Common issues:
- Blank or duplicate values in your key column
- Missing header row
- Incorrect field type selected when building the form
